Manage your agencies

Every rental belongs to an agency of your company: the one that has the customer and makes the contract. This agency is set when the reservation is created and follows every document of the rental (payments, inspections, accidents, invoices). If your company has a single agency, nothing changes for you: all your rentals belong to it.

When a rental was entered in the wrong agency, you can correct it. Every change is recorded with its reason, its author and its date.

Before the invoice

From the reservation page, choose Changer d'agence (change agency). Pick the Nouvelle agence (new agency) among the active agencies of your company and enter the Motif (reason), which is required.

The rental moves to the new agency with its payments, its inspections, its accidents and their documents. Maintenances stay in the agency of their vehicle.

After the invoice

An issued invoice never changes agency. As soon as a rental has an invoice, the Changer d'agence action is no longer offered: the agency is corrected by correcting the invoice.

From the reservation's invoicing tab, choose Corriger la facture (correct the invoice), then the Agence de la facture rectificative (agency of the corrective invoice). The preview shows the agency of each document. On validation, in the same operation:

• the credit note cancels the original invoice and stays in the original agency;
• the corrective invoice and the rental move to the new agency;
• the payments stay in the original agency.

The reason for the correction, which is required, is also the reason for the change of agency. If a step fails, nothing is saved. See the article “Issue a compliant invoice (VAT and tax stamp)” for the rest of the correction.

What is refused

• An agency that is not active cannot receive a rental.
• The rentals of an agency being transferred only leave it through the exit procedure.
• An invoiced rental does not change agency outside the correction of its invoice, nor while another of its invoices (a repair invoice, for example) is not cancelled.

Who can do it

By default, changing the agency of a rental is reserved for the Propriétaire (owner) and the Administrateurs (administrators). After the invoice, the right to correct an invoice is also needed.
